All organisations that hold personal data have obligations under the Data Protection Act 1998 and the (UK) GDPR to keep this information safe

We need to hold personal information about your child on our computer system and in paper records to help us with their educational needs. The Headteacher is responsible for the accuracy and safe-keeping of this information. Please help us to keep your child’s records up to date by informing us of any change of circumstances.

Members of school staff have access to your child’s records to enable them to do their jobs. From time to time, we may be share information with others involved in your child’s care (such as the local authority, Department of Education or NHS), but only if it is necessary to do so. We ensure that anyone with access to your child’s records is properly trained in confidentiality issues and is governed by a legal duty to keep the records secure, accurate and up to date.

We hold all information about your child securely, and maintain appropriate safeguards to prevent accidental loss.

In some circumstances we may be required by law to release your child’s details to statutory or other official bodies, for example if a court order is presented. In other circumstances you may be required to give written consent before information is released – such as the educational reports for insurance, solicitors etc.

To ensure your child’s privacy, we will not disclose information over the telephone, fax or email unless we are sure that we are talking to you – the parent/carer. We will not disclose information to family and friends unless we have your prior written consent, and we will not leave messages containing personal information with others.

Under data protection legislation, you have a right to see what personal information we hold about your child, which in most circumstances will be provided without any fees to pay. If you wish to request information about your child, please contact our Deputy Head, Benjamin Strange, in writing at the school’s postal address, or email admin@coleridgeprimary.net marked “FAO Benjamin Strange – Request for Information”.

Please note, any requests for information received during the school holidays will be dealt with when the school reopens. Please see our school calendar for term and holiday dates.
